Minute-Taker Sought for Client Participation Committee

For the client participation committee at De Regenboog Groep, we are looking for several minute-takers.

Are you a good listener even when there’s a lot going on at once? Can you pick out what’s truly important in a lively conversation? And can you then put that down on paper clearly, neutrally, and carefully? If so, we might just be looking for you.

Our councils consist of people with diverse backgrounds, experiences, and perspectives. We discuss topics that directly affect participants and visitors—sometimes practical and business-like, sometimes personal or emotional.

Our meetings are lively. There’s laughter, discussion, and sometimes people talk over one another—and emotions can run high from time to time. You remain calm, maintain an overview, and ensure that afterward, it’s clear what was discussed, agreed upon, and decided.

What are you going to do?

You attend the meetings and take clear and reliable minutes. Among other things, you record:

  • which topics were discussed;
  • which key viewpoints and points of concern were raised;
  • which decisions were made;
  • which agreements and action items were established, and who is responsible for what;
  • which topics need to be revisited later.

You don’t have to write everything down verbatim. The key is to distinguish between main and secondary issues and to capture the essence of the discussion. If something isn’t clear, you’re of course welcome to ask questions to ensure you understand exactly what someone means.

Your own opinion about the content should be left out of the minutes. Neutrality is important: you describe what was discussed and decided, not what you personally think about it.

After the meeting, you’ll draft the minutes. We believe it’s important that they be available within one week.

Who are you?

We have clear guidelines on what must be included in the minutes at a minimum, but there’s also room for your expertise.

Do you see opportunities over time to make the minutes more organized, clearer, or easier to read? For example, with a different layout, a clear action list, or a better way to find decisions? We welcome that input.

We always coordinate any changes with the council and the support staff.

We’re looking for someone who:

  • is friendly, patient, and respectful;
  • is a good listener and can capture the essence of a conversation;
  • writes in careful and clear Dutch;
  • works accurately and in an organized manner;
  • remains calm during lively or emotional meetings;
  • can handle different personalities and communication styles;
  • shows empathy and understanding for different backgrounds and vulnerabilities;
  • handles personal and confidential information discreetly;
  • can remain professional and neutral;
  • is not afraid to ask questions when something is unclear;
  • is open to discussion, feedback, and professional development;
  • is reliable and follows through on commitments.

And we certainly appreciate a sense of humor.

Experience is a plus, but not required.

Experience taking minutes is a plus, but not required. You’ll receive a brief, practical orientation on how our councils conduct meetings, which documents to use, and what needs to be included in the minutes.

So you don’t need to be a subject matter expert or know everything about client participation; having enough context to follow the discussion closely is sufficient.
